Recently, Microsoft has strengthened security by enabling by default Security Defaults<\/strong>, making traditional SMTP connection (Basic Authentication) from accounting software like MISA<\/strong>, sales software, or WordPress websites difficult. You often encounter connection failure or authentication failure errors.<\/p>

This article will guide you step by step on how to disable Security Defaults<\/strong>, enable SMTP Auth<\/strong> and get App Password<\/strong> (app password) to successfully integrate mail sending 100%.<\/p>

Why can't you send mail with your regular Outlook password?<\/h2>

Microsoft has now blocked Basic Authentication (login with only User\/Pass) for legacy protocols to avoid security risks. To send mail via SMTP, you need to \u201crelax\u201d some security policies for that mailing account while using App Password<\/strong> instead of the daily login password.<\/p>

3-step process to perform<\/h2>

The standard process consists of 3 steps:<\/p>

  1. Disable Security Defaults<\/strong> in Microsoft Entra ID (Azure AD).<\/li>\n
  2. Enable Authenticated SMTP<\/strong> for the outgoing email account.<\/li>\n
  3. Create App Password<\/strong> to paste into MISA\/Software configuration.<\/li>\n<\/ol>

    Step 1: Disable Security Defaults (Required)<\/h3>

    This is the most important step. If not disabled, you cannot enable SMTP Auth.<\/p>

    1. Access the admin page Microsoft Entra admin center<\/a><\/strong> with a Global Admin account.<\/li>\n
    2. Look at the search bar at the top, type \u201cProperties\u201d<\/strong>.<\/li>\n
    3. Select result Properties<\/strong> under the section Microsoft Entra ID<\/strong>.<\/li>\n
    4. Scroll to the bottom of the page, find the blue link line Manage security defaults<\/strong>.<\/li>\n
    5. Change status to Disabled (Not recommended)<\/strong>.<\/li>\n
    6. Select any reason (for example: Application requires legacy authentication<\/em>) and click Save<\/strong>.<\/li>\n<\/ol>

      Step 2: Enable Authenticated SMTP for the sending email account<\/h3>

      After disabling the common security policy, you need to grant SMTP mail sending permissions to the correct account you want to use (for example: hoadon@congty.com<\/code>).<\/p>

      2. Go to menu Users<\/strong> > Active users<\/strong>.<\/li>\n
      3. Click on the email account name you want to configure.<\/li>\n
      4. Select the tab Mail<\/strong>.<\/li>\n
      5. Find the section Email apps<\/strong>, click on Manage email apps<\/strong>.<\/li>\n
      6. Check the box Authenticated SMTP<\/strong>.<\/li>\n
      7. Press Save changes<\/strong>.<\/li>\n<\/ol>

        Instead of using login password (often accompanied by phone authentication that software doesn't understand), you will create a dedicated password specifically for MISA.<\/p>
